Custom CRM vs. HubSpot or GoHighLevel: When Building Your Own Wins
Short answer: if an off-the-shelf CRM fits how you sell and you use most of what you pay for, keep it. A custom CRM wins when you are paying for several tools, working around all of them, and the monthly bill has started to look like the price of building something you would own.
What you are really paying for with a rented CRM
HubSpot, GoHighLevel, HoneyBook and the rest are good products built for the widest possible customer. That is their strength and their cost. You get features you will never open, a pipeline shaped like everyone else's, and pricing that usually climbs with seats, contacts or tiers as you grow. Their current prices are on their own pricing pages, and they change, so check them against your real headcount and contact list rather than the starter tier.
- The subscription never ends. Stop paying and the tool, and often your workflows, stop with it.
- Most service businesses stitch three to five tools together: a CRM, a scheduler, proposals, e-signature, invoicing. Each one is another login and another place a lead can fall through.
- Your process bends to the software. When the tool cannot do what you need, the team builds a spreadsheet beside it, and the spreadsheet becomes the real CRM.
What a custom CRM is
A custom CRM is your pipeline, client records, proposals, contracts, invoices and revenue in one admin, built around the stages your business actually uses. It carries your branding, not a vendor's, and it is software you own: the code, the data and the domain. When the process changes, the tool changes with it.
Five signs you have outgrown off-the-shelf
- You pay for more than one tool to get from a lead to a paid invoice.
- Your team keeps a spreadsheet next to the CRM because the CRM cannot hold what matters.
- Leads arrive from your site, your ads and your DMs, and nobody can say in one place which ones were answered.
- You have asked a vendor for a feature and been told it is on the roadmap.
- Your yearly software bill is in the thousands and still rising.
When you should not build
If you are a team of one, your process is still changing every month, or a single tool already covers you end to end, a custom build is early. Spend the money on getting leads first. We will tell you that on a call, because a CRM nobody needs is not a good build.
Do the math on your own leads
The real cost of the wrong CRM is rarely the subscription. It is the leads that come in and never get a reply. Our free lost-lead calculator shows what that costs you a month, using your own lead count, close rate and job value.
If the number is bigger than you expected, see what we build in a custom CRM dashboard, or tell us about your business and we will scope it with a fixed figure before anything starts.
